Results

Centro de Fisioterapia de Lisboa is a reference in neurological physiotherapy, focused on Parkinson's, stroke and neurodegenerative diseases. It has 10 practitioners and more than 60 active patients, many in therapeutic relationships of over a decade. The whole operation depended on paper, Google Calendar and one person's memory. Agiliz built a platform that digitises the clinic end to end, with artificial intelligence where it takes work away and with GDPR compliance in every layer.

01The opportunity

  • An operation with a single point of failure

Coordinating the diary of 10 practitioners and more than 60 patients with recurring appointments depended on one person's memory and effort. If she was off for a day, the whole clinic faltered.

  • Assessments on paper and fees by hand

Neurological scales were filled in on paper and added up by hand. At the end of each month, the fees for 3 in-house staff and 7 contractors, each with different rules, took days of work.

  • Health data with no structure or metrics

With no digital history or indicators, there was no visibility of occupancy, productivity or clinical progress. And health data on paper and in scattered tools was a compliance risk.

02The solution

  1. 01

    A login for each therapist.

Each of the 10 practitioners has personal access to the platform, where they follow sessions, notes, scales and each patient's progress from day one.

  2. 02

    A central diary.

One diary synchronised across the 10 practitioners, with recurrence rules for long-term neurological patients. No more stray Google Calendar.

  3. 03

Automatic confirmations by WhatsApp and SMS.

Each patient receives their session confirmation with personalised information. Fewer no-shows and fewer repetitive messages for reception.

  4. 04

    Digital clinical module.

Neurological scales filled in on a tablet with automatic scoring, searchable history and progress charts.

  5. 05

    Clinical records by voice.

The physiotherapist dictates notes at the end of the session and the AI structures, classifies and files them in the patient's history.

  6. 06

    The clinic's digital brain.

A knowledge base with procedures, exceptions and operating rules. The clinic's know-how no longer depends on one person.

  7. 07

    Automatic fees and monthly payments.

Fees for in-house staff and contractors are calculated every month with configurable rules, in a statement ready to pay.

  8. 08

    Management dashboard.

Occupancy per therapist, patient progress, billing and operating indicators in real time for the clinical management.

  9. 09

    Family Connect.

Families automatically receive exercise videos, progress reports and updates.

GDPR · 100% compliant

Health data protected in every layer

In a neurological rehabilitation clinic, the trust of patients and families is everything. That is why GDPR compliance wasn't an add-on to the project: it was a requirement from day one, applied to every feature.

  • Data protection by design

Data minimisation, role-based access control and separation of clinical and administrative information, built in from the start.

  • Zero-retention AI

Voice notes are transcribed by AI without the provider keeping any data. No clinical information is used to train models.

  • Consent and data subject rights

Consent recorded for each purpose, including communication with families, and mechanisms for access, rectification and erasure.

  • Documentation kit handed to the clinic

Record of processing activities, privacy policies, processor agreements and internal procedures, ready to present.

  • 100%

Of features designed and validated against GDPR

  • 0

Clinical data retained by AI providers

  • 1 kit

Full documentation handed to the clinic

  1. Map

The operation as it was: diary in Google Calendar, scales on paper, fees by hand and everything depending on one person.

  2. Estimate

Days of work each month on fees for 3 in-house staff and 7 contractors, and a single point of failure in the diary.

  3. Decide

A single platform, with AI where it takes work away and GDPR as a requirement from day one.

  4. Implement

A web and tablet platform for the whole clinic, with AI in voice notes and communication.

Monthly development hours for new features, at the clinical team's pace.

04The impact

The clinic no longer depends on paper and one person's memory. The diary, records, fees and communication with families run in one system, and each patient's progress is visible on one screen.

Therapists gain hands-on time with patients: sessions are recorded by voice and scale scores are calculated automatically. Management decides with data on occupancy, productivity and clinical progress.

The platform evolves at the clinical team's pace, with monthly development hours dedicated to new features.

Let's build something real.

No more pilot projects that never reach production. We start with the Operations Map: two weeks, fixed price, to find out where hours, money and clients are being lost. Then we build, integrate and stay alongside the team.
