Results

MPL manages lettings on behalf of landlords: it collects the rent, sorts out tenants' problems and transfers the net amount every month. All the control lived in an Excel file and in the owner's head. Together with the team, Agiliz designed a platform that replaces the Excel file, automates rent reconciliation and reports, and gives landlords and tenants their own portal.

01The opportunity

  • Rent reconciliation by hand

Every month, the team opened the bank statement and looked for each rent payment by name and amount. When another family member paid, the name didn't match. It took about 40 hours a month just to know who had paid.

  • Legal deadlines kept in someone's head

End-of-tenancy notices, annual rent reviews, property tax (IMI), landlords' income tax (IRS), e-invoice corrections. None of these deadlines was in a system. The risk of forgetting was real, and so was the stress.

  • Growth held back by operations

MPL has never advertised: its portfolio grew by word of mouth. What held growth back wasn't sales, it was operations. Every new unit added hours of invoices, PDF reports made by hand and calls from tenants.

02The solution

  1. 01

    Start from the real operation.

A discovery meeting with the owner and the operations manager, and a review of the control spreadsheet, the standard contracts and the reports sent to landlords. More than a third of the units had a contract needing review or missing dates, so the migration started by cleaning up that data.

  2. 02

    Everything in one system.

Landlords, units, contracts and tenants, with support for co-owners and a commission set per client. The current account separates rent, initial letting income and services such as tax representation.

  3. 03

Only what the team needs to see.

Rent arrears, critical dates and open issues. One click sends a reminder to a tenant in arrears by SMS or email. Expenses above the limit wait for the landlord's digital approval.

  4. 04

    Reports and portals.

Landlords receive a monthly report generated automatically. Tenants have a portal with their contract, receipts and a channel to report problems.

03How we implemented it

Through MEDIR, as in every project. It's the same screen the client follows in the portal, phase by phase.

  1. Map

A discovery meeting with the owner and the operations manager. A read of the control spreadsheet, the contracts and the reports.

  2. Estimate

About 40 hours a month just to reconcile rent. More than a third of units with a contract needing review.

  3. Decide

Replace the Excel file with a platform, starting by cleaning up the contract data.

  4. ImplementIn production

A lettings management platform, with portals for landlords and tenants.

    • Landlords, units, contracts and tenants in one systemSep 2026
    • Current account with rent, initial income and servicesSep 2026
    • Dashboard with rent arrears, critical dates and issuesSep 2026
    • One-click reminders to tenants by SMS and emailSep 2026
    • Automatic monthly report and tenant portalSep 2026
  5. ReviewCurrent phase

Legal deadlines with alerts and monthly reports. Ready for a portfolio of 200 to 300 properties.

04The impact

Rent reconciliation and reports no longer depend on hours of manual work. The landlord report goes from quarterly to monthly because it no longer costs time.

Legal deadlines move out of the owner's head and into dated alerts. Each property's information sits in one place, available to anyone who joins the team.

MPL's stated goal is to reach a portfolio of 200 to 300 properties, including buying portfolios from other agencies. The platform was designed for that volume, without growing the team at the same pace.

Let's build something real.

No more pilot projects that never reach production. We start with the Operations Map: two weeks, fixed price, to find out where hours, money and clients are being lost. Then we build, integrate and stay alongside the team.
